Terms & Conditions

Effective from: 24 October 2025

These Terms & Conditions outline the policies and procedures of Dr Shabri to ensure a professional, safe, and transparent service for all patients. By booking an appointment or receiving treatment, you agree to be bound by these terms.

Please read these terms carefully before booking. If you have any questions, please contact us at info@drshabri.com.

1. About Us

Dr Shabri is a dental practice providing general, cosmetic, and aesthetic dental treatments. We are registered with the General Dental Council (GDC) and operate in accordance with professional standards and UK regulations.

All treatments are performed by qualified, insured, and regulated clinicians who maintain appropriate professional indemnity insurance and comply with GDC standards.

2. Eligibility and Age Requirements

Minimum Age: Patients must be 18 years of age or older to receive treatment.

Proof of Age: We reserve the right to request valid photographic identification to verify your age. Treatment will be refused if satisfactory proof of age cannot be provided.

Parental Consent: For patients under 18, treatment may only be provided with parental or legal guardian consent and presence, subject to clinical assessment.

3. Appointments and Consultations

Booking Appointments

Appointments can be made through:

Appointments are offered on a first-come, first-served basis, subject to availability.

Consultation Requirement

A consultation is required for all new patients undertaking any new treatments. This confidential session is designed to:

  • Assess your goals and expectations
  • Review your medical and dental history
  • Evaluate your suitability for treatment
  • Discuss treatment options, risks, and benefits
  • Answer any questions you may have

Pre-Treatment Requirements

Medical Forms: All patients must complete pre-treatment forms prior to their appointment. These forms collect essential medical information to ensure your safety.

Event Planning: Please inform the clinic of any major upcoming events (such as weddings, filming, travel, or important social occasions) within 6 weeks of your proposed treatment date. Temporary side effects such as bruising, swelling, or sensitivity may occur and could affect your appearance during the healing period.

Booking Future Appointments: We recommend booking your next appointment before leaving the clinic to secure your preferred date and time.

Clinical Discretion

Dr Shabri reserves the right to decline or postpone treatment if it is deemed:

  • Unsuitable for your needs or expectations
  • Unsafe due to medical contraindications
  • Not in your best interest
  • Clinically inappropriate at that time

 

This decision will be made in your best interest and will be clearly explained to you.

4. Deposits and Payment Terms

Deposit Requirements

Cosmetic Smile Consultations: A £50 booking fee is required to secure cosmetic smile consultations (composite bonding, whitening, veneers, smile design).

The deposit serves to:

  • Confirm your booking
  • Be redeemable against treatment carried out on the day or within 6 months of your consultation
  • Act as your consultation fee if you choose not to proceed with treatment

Aesthetic Consultations: A £50 booking fee is required to secure facial aesthetic treatment consultations (anti-wrinkle, fillers, skin rejuvenation).

The deposit serves to:

  • Confirm your booking
  • Be redeemable against treatment carried out on the day or within 6 months of your consultation
  • Act as your consultation fee if you choose not to proceed with treatment

Dental Consultations: A £140 non-redeemable fee is required for comprehensive dental consultations (general dentistry, restorative work, orthodontics). This fee covers clinical time, examination, and treatment planning.

Signature Consultations (Combined Dental & Aesthetics): A £100 non-redeemable fee is required for comprehensive consultations combining both dental and facial aesthetic assessment. This extended consultation provides holistic facial and smile harmonisation planning.

Online Video Consultations: A £30 non-redeemable fee is required for online consultations. This allows initial discussion of your goals and exploration of treatment options from home. An in-clinic consultation is required before treatment can proceed.

Deposit Validity: Redeemable deposits (cosmetic smile and aesthetic consultations only) can be used against treatment carried out on the day of consultation or within 6 months from the consultation date. After 6 months, deposits expire and cannot be transferred or refunded.

Unsuitable for Treatment: If, following consultation, you are found to be unsuitable for treatment due to medical or clinical reasons, any refund will be at Dr Shabri’s sole discretion and will be assessed on a case-by-case basis.

Complex Treatment Deposits

For longer or complex treatment appointments, including but not limited to:

  • Crowns
  • Veneers
  • Composite bonding
  • Orthodontic treatment (Invisalign, aligners, etc.)

A deposit of 50% of the total treatment fee is required at the time of booking to secure your appointment.

Payment Terms

Payment Timing: Full payment is due before or on the day of treatment, unless alternative payment arrangements have been agreed in advance.

Multi-Visit Treatments: For treatments requiring multiple appointments, payments may be divided across visits. Typically, payment is split with up to 50% due per appointment, though specific payment schedules will be agreed upon before treatment commences.

Payment Methods: We accept the following payment methods:

  • Visa and Mastercard credit cards
  • Debit cards
  • Cash
  • Bank transfers (details provided upon request)
 

Price Changes: Treatment prices are subject to change. Any price adjustments will always be communicated and confirmed with you prior to treatment. Prices quoted at the time of booking will be honoured for that specific appointment.

Late Payment: In cases where payment is overdue, the clinic reserves the right to:

  • Apply administrative charges
  • Charge interest on outstanding amounts
  • Require full pre-payment for future appointments
  • Suspend or refuse further treatment until payment is received

5. Cancellations, Rescheduling, and Lateness

Cancellation Policy

Notice Required: A minimum of 72 hours’ notice (3 full working days) is required to cancel or reschedule any appointment.

Late Cancellations: Cancellations made with less than 72 hours’ notice, or failure to attend without prior notice (no-shows), will result in:

  • Forfeiture of your deposit
  • The deposit becoming non-transferable to another date
  • No refund being issued
 

Dental Appointment Cancellations: For complex dental appointments requiring extended clinic time, cancellation fees apply as follows:

  • £250 per hour of reserved clinic time for cancellations made with less than 72 hours’ notice

Repeated Cancellations or No-Shows

If you miss two or more appointments without appropriate notice, we reserve the right to:

  • Require full pre-payment for all future bookings
  • Decline to accept future appointment requests
  • Remove you from our patient list

Illness Cancellations

We understand that unexpected illness occurs. Where possible, please provide at least 72 hours’ notice if you are unwell and need to cancel.

Short-notice illness cancellations will be considered on a case-by-case basis at the clinic’s discretion. We may request evidence of illness for same-day or next-day cancellations.

Patient Lateness

15-Minute Grace Period: If you arrive more than 15 minutes late for your appointment, we may need to reschedule to avoid disrupting subsequent appointments and inconveniencing other patients. Please note, review appointments are usually 15 minutes so if you arrive more than 5 minutes late to these your appointment may be rescheduled. 

Reduced Treatment Time: If we can accommodate you despite lateness, your treatment time may be reduced to ensure we remain on schedule for other patients.

No Refunds for Lateness: Deposits and fees are not refunded if an appointment cannot be completed due to patient lateness.

Clinic Delays

Occasionally, appointments may run behind schedule due to unforeseen clinical circumstances or emergencies. If this occurs:

  • We will inform you as soon as possible
  • You will be offered the choice to wait or reschedule
  • We apologise in advance for any inconvenience

6. Medical Information and Suitability

Duty to Disclose

All patients have a duty to disclose accurate and complete medical information, including:

  • Current medications and supplements
  • Allergies and adverse reactions
  • Relevant health conditions (past and present)
  • Previous dental or aesthetic treatments
  • Pregnancy or breastfeeding status
  • Any changes to your health since your last visit
 

Failure to Disclose: Failure to provide accurate medical information may:

  • Compromise your safety
  • Affect treatment outcomes
  • Void any guarantees or warranties
  • Result in the clinic declining liability for adverse outcomes

Medical Contraindications

Some treatments may not be suitable if you are:

  • Pregnant or breastfeeding
  • Taking certain medications
  • Suffering from specific medical conditions
  • Recovering from recent surgery or illness

Dr Shabri will assess your suitability during consultation and may request additional information or clearance from your GP or specialist where appropriate.

Consultation and Consent Forms

Prior to treatment, you will be required to complete a Consultation and Consent Form. This form:

  • Becomes part of your clinical record
  • Confirms that all information you have provided is accurate to the best of your knowledge
  • Documents your informed consent to treatment
  • Explains the risks, benefits, and alternatives
 

Your Signature: By signing the consent form, you confirm that:

  • You have had the opportunity to ask questions
  • You understand the nature of the treatment
  • You accept the risks involved
  • You consent to proceed

Professional Advice

Dr Shabri will always provide honest, professional, and evidence-based advice. We reserve the right to refuse treatment if:

  • It is not clinically appropriate
  • Your expectations are unrealistic
  • There are safety concerns
  • It is not in your best interest

7. Photography and Record Keeping

Clinical Photography

Clinical photographs are taken before and after treatment as part of your medical record. These photographs:

  • Document your treatment progress
  • Are used for clinical assessment and treatment planning
  • Are stored securely in compliance with GDC and GDPR requirements
  • Are retained for a minimum of 11 years (or until age 25 for patients under 18)
 

Consent Requirement: Treatment will not proceed if consent for clinical photography is withheld, as photographs are an essential part of your clinical record.

Marketing and Educational Use

You may be invited to provide separate consent for the use of your photographs for:

  • Marketing purposes (website, social media, promotional materials)
  • Educational purposes (training, presentations, publications)
 
This consent is entirely voluntary and separate from clinical photography consent. Where photographs are used for marketing or educational purposes, we will anonymise them wherever possible to protect your identity.

You may:

  • Decline without affecting your treatment
  • Withdraw consent at any time by contacting us in writing
  • Request that your images be removed from public materials (where practically possible)
 

Data Security

All clinical records, including photographs, are stored securely in accordance with our Privacy Policy and GDPR requirements. Access is restricted to authorised clinical staff only.

8. Treatment Results and Expectations

Individual Variation

While every effort is made to achieve the best possible outcome, results cannot be guaranteed. Individual results vary depending on several factors, including:

  • Your anatomy and physiology
  • Your age and skin quality
  • Your lifestyle and habits
  • How well you follow aftercare instructions
  • Natural biological variation

Realistic Expectations

During your consultation, Dr Shabri will discuss realistic expectations for your treatment. We are committed to providing honest advice about what can and cannot be achieved.

If your expectations are not realistic or achievable, we reserve the right to decline treatment.

Maintenance Appointments

Some treatments may require maintenance or review appointments to:

  • Sustain results over time
  • Optimise outcomes
  • Address any concerns
  • Make adjustments if needed

We will advise you on recommended maintenance schedules during your consultation and aftercare.

9. Adjustment Policy

Post-Treatment Reviews

Some treatments may require review and adjustment following the initial procedure. Review appointments are typically scheduled 2-4 weeks after treatment.

What’s Included: Minor adjustments or touch-ups required due to:

  • Natural healing variations
  • Minor asymmetries that develop during healing
  • Areas requiring additional product or refinement
 

These adjustments are included as part of your initial treatment fee, subject to clinical assessment by Dr Shabri.

Clinical Discretion: Further treatment at review appointments is at Dr Shabri’s discretion. Not all concerns may require or be suitable for adjustment.

What’s Not Included: Additional treatments requested due to:

  • Change of preference or aesthetic goals
  • Desire for more extensive results beyond the original treatment plan
  • Issues arising from failure to follow aftercare instructions
 

These will incur additional charges.

10. Guarantees on Dental Work

We are committed to providing high-quality, long-lasting dental care. The following guarantee periods apply to specific treatments:

Guarantee Periods

Cosmetic Composite Restorations: Guaranteed for 12 months from the date of placement, subject to terms below.

Ceramic Restorations (crowns, veneers, inlays, onlays): Guaranteed for 5 years from the date of placement, subject to terms below.

Guarantee Conditions

Guarantees apply provided that you:

  • Attend a review appointment within 8 weeks of treatment completion
  • Wear your night guard or retainers as advised by Dr Shabri
  • Maintain good oral hygiene practices
  • Attend regular hygiene appointments at the clinic (at least annually)
  • Do not have work adjusted, modified, or treated by another clinician without our prior knowledge

Guarantee Exclusions

Guarantees do not cover:

  • Accidental damage or trauma to teeth or restorations
  • Damage resulting from neglect or poor oral hygiene
  • Gum recession or periodontal disease
  • Tooth movement due to not wearing retainers or night guards as advised
  • Changes in your aesthetic preferences after treatment completion
  • Root-treated teeth (which have different structural considerations)
  • Work that has been adjusted, modified, or repaired by another dentist without our consent or knowledge
  • Damage from teeth grinding or clenching where a night guard was recommended but not worn
  • Natural wear and tear beyond the guarantee period

Making a Guarantee Claim

If you believe you have a valid guarantee claim, please contact us as soon as possible. We will assess the issue and, if covered under guarantee, will remedy the problem at no additional charge.

11. Treatment-Specific Policies

Composite Bonding

Composite bonding requires ongoing care to maintain its appearance and longevity. A review appointment within 2-4 weeks of treatment is required, with maintenance appointments recommended every 6-12 months.

Coverage for repairs within the first 12 months applies only to genuine material failure, not damage caused by trauma, misuse, poor maintenance, or staining. Detailed aftercare instructions will be provided at the time of treatment.

Orthodontic Retainers

Retainers are essential to maintaining orthodontic results and must be worn as advised by Dr Shabri. Loss, breakage, or replacement of retainers is not included in orthodontic treatment fees and will incur additional costs.

Failure to wear retainers as instructed may result in tooth movement or relapse, which is not covered under any guarantee. Detailed retainer care instructions will be provided at the end of your orthodontic treatment.

12. Aftercare and Review Appointments

Aftercare Instructions

Full written aftercare instructions are provided following each treatment. These instructions are designed to:

  • Optimise healing and results
  • Minimise risks and complications
  • Ensure your comfort during recovery
 

Your Responsibility: Please read and follow these instructions carefully. Failure to follow aftercare advice may:

  • Compromise your results
  • Increase the risk of complications
  • Void guarantees or warranties
  • Result in the need for additional treatment at your expense

Review Appointments

Review appointments are usually scheduled 2-6 weeks post-treatment, depending on the procedure. These appointments allow us to:

  • Check healing progress
  • Address any concerns
  • Make minor adjustments if needed
  • Provide additional advice
 

Informing Us: If you do not wish to book a review appointment or do not believe one is necessary, please inform the clinic. However, we strongly recommend attending scheduled reviews to ensure optimal outcomes.

Reporting Concerns

If you experience any concerns, complications, or unexpected symptoms between appointments, please contact us immediately. Do not wait for your scheduled review if you have urgent concerns.

13. Confidentiality and Data Protection

Privacy and Confidentiality

All personal and medical information is handled with strict confidentiality in accordance with:

  • General Data Protection Regulation (GDPR)
  • Data Protection Act 2018
  • GDC professional standards

Data Storage and Security

Your records are securely stored and protected with appropriate technical and organisational measures. Access is restricted to authorised clinical staff only.

Data Sharing

We will never share your personal or medical information without your explicit consent, except where:

  • Required by law (court order, regulatory investigation)
  • Necessary for your clinical care (referral to specialist)
  • Required by our professional indemnity insurers in the event of a claim

14. Complaints and Feedback

Our Commitment

Your satisfaction and wellbeing are important to us. We are committed to providing high-quality care and addressing any concerns promptly and fairly.

Raising Concerns

If you are unhappy with any aspect of your experience, treatment, or outcome, please:

  • Raise your concerns as soon as possible
  • Contact us directly at info@drshabri.com or speak to Dr Shabri
  • Provide details of your concern so we can investigate and respond

We encourage you to speak to us first so we have the opportunity to resolve the issue.

Formal Complaints

If your concern cannot be resolved informally, you may submit a formal written complaint:

 

Complaints Procedure: All formal complaints will be handled in accordance with our official complaints policy, which is available upon request. We will:

  • Acknowledge your complaint within 3 working days
  • Investigate thoroughly and impartially
  • Provide a full written response within 10 working days (or inform you if additional time is needed)
  • Offer a resolution where appropriate

External Complaints

If you are not satisfied with our response, you may escalate your complaint to:

 

Limitation of Liability

The clinic’s liability for any claim, whether in contract, negligence, or otherwise, is limited to the cost of the specific treatment provided that is the subject of the complaint. We do not accept liability for indirect, consequential, or economic losses.

15. Cancellation of Services by the Clinic

We reserve the right to cancel or postpone your appointment if:

  • Dr Shabri is unwell or unavailable due to unforeseen circumstances
  • There is an emergency that requires immediate attention
  • Clinic facilities are unavailable (equipment failure, building issues, etc.)
  • We are unable to safely provide treatment
 

Notification: We will inform you as soon as possible if we need to cancel and will offer to reschedule at the earliest convenient time.

Refunds: If we cancel your appointment, any deposit paid will be:

  • Transferred to your rescheduled appointment, or
  • Refunded in full if you do not wish to reschedule

16. Patient Conduct

We are committed to providing a safe, respectful, and professional environment for all patients and staff.

Expected Conduct

We expect all patients to:

  • Treat staff with respect and courtesy
  • Follow clinic policies and instructions
  • Attend appointments sober and in an appropriate state
  • Not engage in threatening, abusive, or aggressive behaviour

Unacceptable Behaviour

We reserve the right to refuse treatment and remove you from our patient list if you:

  • Are verbally or physically abusive to staff
  • Attend appointments under the influence of alcohol or drugs
  • Engage in threatening, intimidating, or inappropriate behaviour
  • Make false or malicious complaints
  • Refuse to comply with reasonable clinic policies
 

No Refund: Deposits and fees will not be refunded if treatment is refused due to patient misconduct.

17. Intellectual Property

All content on our website, marketing materials, and clinical protocols, including text, images, logos, and design, are the intellectual property of Dr Shabri and are protected by copyright laws.

You may not reproduce, distribute, or use any content without our prior written permission.

18. Variation of Terms

Right to Amend

We reserve the right to amend these Terms & Conditions, treatment prices, or policies at any time. Changes may be made to reflect:

  • Changes in legislation or regulations
  • Updates to clinical protocols or best practices
  • Changes in business operations
  • Feedback from patients or regulatory bodies

Notification of Changes

The most current version of these Terms & Conditions will always be available on our website. Material changes will be communicated by:

  • Posting an updated version on our website with a new effective date
  • Email notification to existing patients (where significant changes affect existing bookings or treatments)

Continued Use

By continuing to book appointments or receive treatment after changes are posted, you agree to be bound by the updated terms.

19. Governing Law and Jurisdiction

These Terms & Conditions are governed by the laws of England and Wales. Any disputes arising from these terms or your treatment will be subject to the exclusive jurisdiction of the courts of England and Wales.

20. Severability

If any provision of these Terms & Conditions is found to be invalid, illegal, or unenforceable, the remaining provisions will continue in full force and effect.

21. Entire Agreement

These Terms & Conditions, together with our Privacy Policy, Cookie Policy, and any treatment-specific consent forms, constitute the entire agreement between you and Dr Shabri regarding your treatment.
